Arrival & Check In

All groups should arrive at the campus of the University of San Diego. Check-in will be from 1-5pm in Hahn University Center, Forum A. If your group will be arriving at 5pm, please call 740-317-5299 and leave a message detailing your arrival. You will then need to go to the Conference Information Desk at JCP for check-in.

Buses will be directed to loop around campus in a single direction.

Cars will be directed to specific lots for temporary parking.

Chaperone ID Check will take place at near your car/bus. Every chaperone must be present. If you have a chaperone who must arrive late, he or she can get checked separately. If after 5pm, the chaperone must come to the Conference Information Desk at JCP for check-in.

Chapel

The Eucharistic Chapel is open before and after conference sessions. It is located in room JW201. Prayer ministry is available for assistance during the conference.

Chapel/Prayer

The Blessed Sacrament Chapel is open during the conference from 7:30 a.m. to 11:00 p.m. It is located on campus in St. Thomas More Church. An optional Travelers’ Mass will be celebrated in St. Thomas More Church at 4:00 p.m. on Friday, July 24. Prayer ministers are available for assistance during the conference. They are wearing bright green shirts. 

Expectations

Rules
Teens must be accompanied by chaperones in Carnesecca Arena. Outside the arena they must be accompanied by TWO adult chaperones. Participants must always wear conference wristbands to ensure admittance into the venue.   

Dress Code
All participants, including adults, are expected to dress appropriately in modest attire. Low-cut tops, miniskirts, short shorts, and clothing with offensive language or obscene pictures are not allowed. 

First Aid

For all non-emergent first-aid needs, please go to the First-Aid Station located near Section 1 on the upper level of Carnesecca Arena during arena hours. If you can’t make it to the First-Aid Station, please call St. John’s Public Safety at 718-990-5252 or 718-990-6281 for non-emergent needs. Youth requiring first aid must be accompanied by an adult.  Medication requiring refrigeration should be checked in with the nursing staff. 

Arrival/Departure

Please enter St. John’s University from Gate 1 (8000 Utopia Parkway) regardless if you are in a bus, personal vehicle, or arriving by public transportation.   

Public Safety will direct you to Residence Village for unloading of buses and personal vehicles. The group leader and one adult chaperone (if necessary) will check in and pick up all registration materials at Montgoris Dining Hall. Participants will unload vehicles and wait for the group leader to return. Any participant who needs a photo taken for their Storm Card will need to accompany the group leader into Montgoris.   

Buses
Group leaders should have the driver’s contact information and place a sign in the front window identifying the group leader’s name and parish for arrival and departure. Ex. Mary Smith, St. Paul, Waterford, CT.  Buses will be directed to free parking for the weekend. 

Parking:  All participants parking on campus must obtain a parking pass. Please be prepared to provide your license plate number when requesting a parking pass at registration.  Public Safety will direct you to free parking lots/garages. 

Smoking & Alcohol Policy

Except for designated outside areas, all conference venues are smoke-free facilities. During the conference, we ask all participants, including adult chaperones, to refrain from smoking. The consumption of alcohol is strictly prohibited during the weekend. 

Marketplace & Concessions

The Marketplace is in the lobby of Carnesecca Arena. The sale and distribution of any items is strictly prohibited without the permission of the conference coordinator. Food trucks will be in the Residence Village on Friday and Saturday night following programming until 11:00 p.m. 

Lost & Found

Lost and Found is located at the Information Table in the lobby of Carnesecca Arena. Any collected item not claimed will be left with SJU public safety. If you realize after the conference that something was left behind in a dorm, please contact St. John’s Public Safety at 718-990-6281Participants are responsible for shipping costs. 

Conference Identification

Conference wristbands and Storm Cards identify you as a participant of the Steubenville NYC Conference. Wristbands must always be worn, and Storm Cards must be carried on your person. Without them, you will not have access to meals, dormitories, or assigned seating. There is a $25 replacement fee if you lose your Storm Card. Please contact the Office of Conference Services, 718-990-7300, for a replacement. Broken/defective wristbands MUST be exchanged at the Information Table in the Carnesecca Arena Lobby in order to receive a new one. 

Marketplace

The Marketplace is located in Gym 2. The sale and distribution of any items is strictly prohibited without the permission of the Conference Director. 

Lost &Found/Smoking Policy

Lost & Found is located at Conference Services. If you realize after the conference that you lost something, call 416-599-7676 within two weeks to claim your items.

Emergencies/First Aid

UOIT Conference Services can be reached at 905-728-8700. Alternatively, please visit our Conference Service table outside of Gyms 3, 4, and 5 where staff will be able to assist you.

For all medical needs, please go to the First-Aid Station located in the Athletic Centre. Hours are 8 a.m. until 11 p.m. Youth requiring first aid must be accompanied by an adult.

Rules and Regulations

When participants (or their parents) signed the Liability Form, they acknowledged having read the Participant Policy Acknowledgement Form. By signing the liability form, all participants (adult and youth) agreed to adhere to the rules and policies of the Steubenville On The Bayou Catholic Youth Conference as set forth in the Participant Policy Acknowledgment Form. Anyone not following the policies may be asked to leave; a refund will not be issued.  

Marketplace/Concessions

The Bookstore is located in the Marketplace.  The sale and distribution of any items is strictly prohibited without the permission of the Conference Director. Concessions will be sold in the lobby intermittently during the weekend.

Chapel

The Chapel is open during conference hours. It is located at the end of the Meeting Room Wing. Prayer ministers are available for assistance during the conference. They are wearing red vests.

Health/First Aid/ Lost and Found

Health
It is absolutely vital that you drink lots of water throughout the weekend. Water coolers are located just outside of the lobby doors.

First Aid

Security

  • Lanyards MUST be worn at all times.  If you lose your lanyard, immediately report to Central Office (youth must be accompanied by an adult chaperone).
  • Bag Size Limits: Bags should be “flat bags” like a cinch bag/drawstring backpack (picture below). No multi-zipper backpacks, oversized backpacks or large totes will be allowed.
  • Youth are not allowed to leave the inside of the conference site without a chaperone
  • No one without proper Conference Credentials will be allowed onto the conference grounds:
    -Participants: Lanyards for Participants: Lanyards will be required to be worn by all participants when on the conference site. The lanyard will be your conference credentials (instead of bracelets) this year. Chaperones will have one color identifier on their lanyard and young adults will have another. No one without a lanyard will be allowed into the conference.
    -Safe Environment Trained Persons:Volunteers are identified by their “uniform” and MUST wear their conference vests, scrub top or apron at all time as this is your “entry” to the conference. / Priests will be wearing lanyards./Mercy Crew is identified by their shirts./Logistics persons are identified by their shirts.
    -Non Safe Environment Trained Persons: Civic Staff: will have their I.D.s on and many will have Civic Center shirts/Production Staff: will have Gulf Coast Production shirts on/Catering: will have 360 catering shirts on.

Group Leaders

Weekend Responsibilities 

A group leader is the person who organized the trip and will serve as the contact person between Central Office and the group’s participants. The group leader must be an adult, age 21 or older, who is in attendance with the group at the conference for the entirety of the weekend.

Arrival and Check In

Only the group leader is to report to Central Office to check in the group. Check in begins at 11 a.m.  Group leaders must have one completed Liability Form per participant (including all adults). **The group leader should submit the completed/signed Acknowledgement and Verification Form prior to arrival. Groups without this form on file cannot be allowed onto the conference site.

Bus Drivers

Unless the bus driver is also registered as a chaperone with your group, he or she is not allowed onto the conference site.  The exception to this is the closing Mass on Sunday morning. Buses MUST drop off either in front of the Civic Center or on the main parking lot side. DO NOT DROP OFF PARTICIPANTS ON THE SKATE PARK SIDE.

Franciscan LEAD Participants

LEAD participants will be on the grounds of the conference site when group check in begins. However, the LEAD program does not conclude until 1 p.m. LEAD participants will need to be “checked out” and dismissed to the group leaders.  Group leaders should check at Central Office to connect with their LEAD participants Friday.

Group Leader Information Packet 

At check in, group leaders will receive their pizza pick-up vouchers (if pre-ordered), Sunday travel meal pick-up vouchers (if pre-ordered), group T-shirts (if pre-ordered), participant wristbands, and lanyards.

Religious should check in at the Religious Table if they arrive prior to 3:30 p.m.  After 3:30 p.m, religious will check in by the chapel. Those religious serving at the conference will be given free entry; any that plan to be participants will need to register as a participant.
